The improvised way — a photo via WhatsApp to the office, a plan emailed to a personal account — works in the short term, but quickly becomes messy and is often not entirely clean from a data protection standpoint once customer data is involved. A few thoughts on a setup that still works once you have more than one employee:
Central storage instead of scattered chats
A central, cloud-based folder or a simple job management system that everyone accesses with their own login replaces digging through chat history for "that one photo from last week." Important here: a clear folder structure per job, so everything is still findable months later.
VPN instead of open access
If you need to access internal systems remotely (e.g. a server in the office), that should go through an encrypted VPN connection rather than open ports exposed to the internet. A VPN makes remote access look, from a security standpoint, as if you were sitting in the office network — just securely encrypted from wherever you are.
Separating personal and business use
Where possible, a dedicated company device (or at least a separated work profile on a personal phone) is the cleaner solution. If customer data ends up permanently on personal devices, things get messy quickly in case of loss, theft, or an employee leaving — nobody's quite sure anymore who still has access to what.
Don't forget offline capability
Not every job site has reliable signal. Systems that also work offline and sync automatically once connectivity returns save a lot of frustration in daily use — worth factoring into your choice of tool.
Mobile access isn't a luxury anymore — it's daily life. The only question is whether it's organized or accidental.
